ABOUT THE ROLE

The HR Assistant will be a key member of the BSRx HR team and provide administrative support on day- to- day deliverables, supporting both the Human Resources and Talent Acquisition teams.

**This role will be a hybrid role with 2-3 days on-site requirement, working out of our Markham office, and the balance will be remote.

A DAY IN THE LIFE

  • Prepare letters of employment, reporting change letters, and job/title change letters as requested, and update PeopleSoft accordingly.
  • Maintain employee files such that all required documentation, including copies of current professional registrations, probationary and annual performance reviews, and continuing education documentation are included.
  • Maintain the BSRxHR inbox, including filing documents, answering questions regarding Bayshore policies, procedures, and protocols. Respond to inquiries from internal and external parties or redirect them to the appropriate person and resources.
  • Assist with converting agency staff to a BSRx employee, ensuring all steps are completed in Taleo, our ATS (Applicant Tracking System) and all required documentation is completed and saved in their employee file.
  • Complete reference checks and criminal background checks for New Hires.
  • Coordinate and schedule New Employee Orientation and conducting necessary follow-ups.
  • Review all New Hires’ paperwork including onboarding documents, invites to company platforms, creating employee files and training.
  • Coordinate onboarding with the Hiring Managers and other departments, as needed.
  • Maintain current knowledge on the HR Management Systems such as PeopleSoft and Taleo and keep employee profiles updated.
  • Assist in HR initiatives and projects to support the organization.
  • Adhere to Bayshore Policies and Procedures.
  • Participate in proactive Health & Safety activities while performing all duties. Is responsible to notify immediate Supervisor of any Health & Safety risks or concerns.
  • Maintain confidentiality of client and corporate information and discusses same only with appropriate Bayshore personnel.
  • Complete other tasks as requested.


Job Qualification

WHAT YOU BRING TO THE TEAM

  • Post-Secondary Education/Certificate in Human Resources Management or a related field.
  • Working knowledge of current legislation (OHSA, Employment Standards Act, Ontario Human Rights Code, WSIB and others)
  • Excellent written and verbal communication skills.
  • Excellent organizational & critical thinking skills.
  • Strong and proven attention to detail.
  • Ability to work within strict timelines and handle multiple/competing priorities.
  • Flexible, adaptable, and able to work under pressure and convey a sense of urgency.
  • Demonstrated initiative and accountability
  • Able to work under minimal supervision.
  • Team player with ability to function in a multi-disciplinary environment and promote collaboration.
  • Flexible to occasionally work outside of core business hours to support the business. (e.g., Job Fairs).
